Managed Cvent Services

Managed Cvent services, run like part of your team.

Ongoing Cvent administration, registration builds, audits and event-day support from experienced, certified event tech professionals with 20+ years in the events industry, so your planners spend their time on the event instead of the platform.

What this covers

Cvent is deep, and it is built for people who use it every day. Most event teams use it in bursts, around a handful of events a year, next to a dozen other responsibilities. Managed Cvent services close that gap. Instead of hiring a full-time Cvent admin or learning the platform under deadline, you bring in a specialist who works inside your Cvent account on the calendar you actually have. We administer the account, build the registration for each event, set up the Attendee Hub and check-in, keep integrations healthy and put reporting in place before launch. You stay in charge of strategy and stakeholders. We handle the platform. Everything is built in your account, documented, and yours to keep.

  • Account administration: users and roles, event templates, naming conventions and who is allowed to change what
  • Registration builds for every event on your calendar, with conditional logic, approvals, group and guest flows, fees and payments
  • Event websites and emails kept on brand, built from templates instead of from scratch every time
  • Attendee Hub configuration: agenda, sessions, speakers, sponsors, networking and notifications
  • OnArrival check-in, badges and session scanning, configured and rehearsed before anyone travels
  • Integrations with Salesforce, Marketo, HubSpot and other tools, with field mapping, routing and checks so syncs do not fail silently
  • Reporting and dashboards set up before launch, including Cvent Intelligence where you have it
  • Account audits and clean-up, starting with any account you inherited
  • Event-day and event tech support, with extra staff arranged where you need them
  • Documentation and handover notes written around your build, so nobody has to reverse engineer it next year
  • Training for the people on your team who will own the platform day to day
Why it matters

What you get

No single point of failure

Your program stops depending on one person who learned Cvent by trial and error. A named specialist knows your account, and the build is documented so anyone can pick it up.

Launches that hold their dates

Registration builds are scoped against your calendar, so a slipped build does not cost you registrations while the invitation waits.

Your team on the event

Planners spend their hours on strategy, stakeholders, content and experience instead of wrestling with the platform.

FAQ

Questions, answered

What are managed Cvent services?

Managed Cvent services mean a specialist team runs the Cvent work for you on an ongoing basis: account administration, registration builds, Attendee Hub and check-in setup, integrations, reporting and event-day support. The work happens in your own Cvent account, on your own license, under a scope agreed before work starts.

Do we need to buy Cvent through you?

No. We work inside your existing Cvent license and account. If you do not have Cvent yet, we can advise and stand it up.

Is this a retainer or a project?

Both are normal. Many teams start with a single event, an audit or a registration build, then move to an ongoing monthly retainer if it earns it. Onsite and event-day support can be added for a specific event. Scope and price are agreed before any work starts.

How is this different from hiring a Cvent admin?

A full-time admin is available every day and builds deep knowledge of your events, but they are a senior salaried hire, they can take months to find, and most programs are seasonal. A managed engagement gives you senior expertise on the calendar you have, with a team behind it rather than one person. Many teams land on a hybrid: a lean internal owner for strategy and stakeholders, plus managed help for the heavy builds. Our guide to outsourcing versus hiring a Cvent admin walks through the decision.

How do we know if we need managed Cvent services?

If one person is the only one who knows Cvent, launches keep slipping, event days are spent firefighting, leadership asks for ROI and you dread the answer, or you are licensed for features nobody has time to set up, it is worth a conversation. We list seven signs in our guide, and three or more is a good reason to talk before the next deadline forces a rushed decision.

How is this different from Cvent Professional Services?

Cvent's own services team is a good fit when the job is implementation, onsite operations or a new module and staying inside the vendor relationship matters. We are an independent services provider, not Cvent. We are a better fit when you want ongoing hands-on help, when the brand has to survive the build, or when you run more than one platform. Scope and pricing for Cvent's team are set by Cvent, so check current details with them.

Who will actually do the work?

You talk to the person doing the work, not an account manager. Eventengin is a small team of experienced, certified event tech professionals with 20+ years of experience in the events industry. Some of us handle video, motion and visual work, and others handle platform builds.

Can we try it on one event first?

Yes, and it is the sensible way to start. Begin with a single project or a short engagement, see how it feels, and scale into ongoing management only if it earns it.

What do you need from us to start?

Access to your Cvent account with a login of our own, your brand guidelines, and a list of the events coming up. If the account was inherited, we start with an audit so we know what we are building on.

Do you work with agencies?

Yes. Agencies bring us in white-label to build for a client, inside the client's account and under the agency's name. There is a separate page for that work.

How fast can you start?

Usually within a week. Tell us the date of your next event on the first call and we will tell you honestly whether it is realistic.
